Scanning or document imaging is the process of transforming paper documents into digital images which are stored for later retrieval.
 

Scanned images are scanned only once and may be copied many times to CD-ROMs, in a matter of minutes, for a cost-effective and efficient alternative to copying.
 

Many Courts, government agencies and law firms are requiring disclosure in digital format. When documents are scanned with optical character recognition “OCR”, they can be searched by word content.
 

Coding is the process of indexing scanned documents into a searchable database for quick and efficient retrieval.
 

Coding simply adds fields of the client's choosing:  Date, Description, Author, Recipient, Bates No., etc.
 

Documents can be coded in a variety of database software applications such as Concordance, dbTextworks, Summation, Document Director and more.

Isn't scanning more expensive than copying?


Scanning is actually cheaper than copying when you need more then one copy.  Consider that most cases involve several attorneys who need copies - scanning is a much cheaper option!

What format is best to scan documents into?


Depending on the document management system you are using, documents are usually scanned into .tiff or .pdf.
 



Can't I scan my own documents?


Most firms do not have adequate equipment for large document scanning jobs.  Small jobs may be done in-house and large jobs are better outsourced.
 



How do I search my scanned documents?


Scanned documents should always be OCR'd, a process that allows you to search the text.  Coding is an additional option for optimal search and retrieval.
